Daily sales, vendor invoices and prime cost
Work happens inside your own accounting software.

Point-of-sale sales, card deposits and cash matched every day, so gaps show up fast.
Included
Vendor invoices
Food, beverage and supply invoices entered and coded for your approval.
Included
Payroll entries
Payroll, including tips, recorded correctly in the books.
Included
Prime cost reporting
Food and labor costs reported against sales every month.
Why it matters
Margins live in food and labor
Prime cost, your cost of goods sold plus labor, is the number most restaurants manage by, and Toast suggests 60% of sales or lower as a good benchmark (Toast). You can only manage it if food invoices and payroll are in the books every month.
How a month runs
From the nightly close to prime cost
What our team does for a restaurant, inside your own accounting software.
Daily
Sales to deposits
Point-of-sale totals matched to card deposits and cash, with processor fees recorded separately.
Weekly
Invoices coded
Food, beverage and supply invoices entered and coded so food cost is current, not a month late.
Each payroll
Wages and tips
Payroll and reported tips recorded so the books agree with your payroll reports.
Month-end
Prime cost report
Food and labor cost as a share of sales, with accounts reconciled and statements ready.
Why Opteamus
Reconciled daily, not at month-end
Restaurants move fast and margins are thin, so our team reconciles daily rather than waiting for month-end. Our accounting team is led by a Director of Accounting and Finance with CA-level expertise who oversees QA review. We do not prepare tax returns; your CPA keeps that work. Opteamus LLC is a US company based in Torrance, California. Our team works from Dhaka, Bangladesh, during US business hours, which is how we keep offshore rates.
FAQ
Common questions
What does restaurant bookkeeping include?
Daily sales and deposit reconciliation, vendor invoice entry, payroll and tip entries, bank and card reconciliations and monthly statements with prime cost.
Do you work with my point-of-sale system?
We reconcile the sales reports from your point-of-sale system to your bank deposits inside your accounting software.
How should tips be recorded?
Employees who receive $20 or more in cash tips in a month must report them to you by the 10th of the next month, and you use those reports to withhold Social Security, Medicare and income tax (IRS). We record reported tips with payroll so the books match the payroll reports.
Do I need to file Form 8027?
The IRS requires it from large food or beverage establishments where tipping is customary and you normally employ more than ten people (IRS). We keep the sales and tip records it draws on organized; the filing stays with your CPA or payroll provider.
Why do card deposits never match daily sales?
Card processors deposit sales minus fees, often a day or more later, and tips and cash change the totals. Matching every day keeps those differences explained instead of piling up.
How much does it cost?
From $15 an hour with no setup fee. Your rate depends on transaction volume, and we confirm it on a free call. See how bookkeeping prices compare.
Do you prepare tax returns?
No. We keep the books accurate and closed every month, and your CPA prepares the returns.
How do you protect my data?
Every team member signs an NDA. Client logins are kept in a password manager, never shared in chat or email. We work inside your own accounting software rather than copying files out of it, and our managers monitor the browsers the team works in.
