Why it matters
Late payroll deposits get expensive
The IRS charges a failure to deposit penalty of 2% when payroll taxes are deposited 1 to 5 days late, 5% at 6 to 15 days and 10% after that (IRS). A team that prepares every payroll on schedule keeps runs on time and the books matching.
How a payroll cycle runs
From timesheets to reconciled books
What our team does each pay period, inside your own payroll system and accounting software.
Before cutoff
Hours and changes
Timesheets, new hires, raises, bonuses and time off collected and entered before the payroll cutoff.
Each payroll
Prepared for approval
The payroll is prepared in your payroll system and sent to you to review and approve before it runs.
After payroll
Recorded in the books
Wages, employer taxes and withholdings posted to the right accounts.
Month-end
Payroll accounts reconciled
Payroll liability accounts reconciled, so the books show exactly what is owed and what was paid.
Why Opteamus
Each run reviewed before it reaches you
Payroll mistakes are expensive and visible to every employee, so each run is reviewed before it goes to you for approval. Our accounting team is led by a Director of Accounting and Finance with CA-level expertise who oversees QA review. We do not prepare tax returns; your CPA keeps that work. Opteamus LLC is a US company based in Torrance, California. Our team works from Dhaka, Bangladesh, during US business hours, which is how we keep offshore rates.
FAQ
Common questions
What does payroll outsourcing include?
Collecting hours and changes, preparing each payroll in your payroll system for your approval, keeping employee records current, and recording and reconciling payroll in your books.
Do you approve or send payments?
No. You approve every payroll before it is submitted, and the money only moves on your approval.
Which payroll deadlines matter most?
Form 941 is due by the last day of the month after each quarter ends, and Forms W-2 go to employees and the Social Security Administration by January 31 (IRS). We keep the payroll records behind them complete, while your payroll provider or CPA handles the filings.
When are payroll taxes deposited?
Each year you are either a monthly depositor, paying by the 15th of the following month, or a semiweekly depositor, based on your tax in the lookback period (IRS). We prepare each payroll on a schedule that fits yours.
How much does it cost?
From $15 an hour with no setup fee. Your rate depends on headcount and pay frequency, and we confirm it on a free call. See how bookkeeping prices compare.
Do you prepare tax returns?
No. We keep the books accurate and closed every month, and your CPA prepares the returns.
How do you protect my data?
Every team member signs an NDA. Client logins are kept in a password manager, never shared in chat or email. We work inside your own accounting software rather than copying files out of it, and our managers monitor the browsers the team works in.
