Ecommerce bookkeeping
Ecommerce bookkeeping
Online store bookkeeping done for you: marketplace and store payouts matched to sales, fees and refunds, sales tax recorded correctly, inventory costs tracked and monthly statements by channel.
What we handle
Payouts, sales tax and cost of goods, reconciled
Work happens inside your own accounting software.
Included
Payout reconciliation
Each store and marketplace payout broken out into sales, fees, refunds and reserves, then matched to the bank.
Included
Sales tax recorded
Sales tax collected by you and by marketplaces recorded correctly, so it is not counted as revenue.
Included
Inventory and cost of goods
Inventory purchases and cost of goods sold tracked, so your margin is real.
Included
Statements by channel
Monthly profit and loss by store and marketplace.
Why it matters
Payouts are not revenue
A marketplace payout is sales minus fees, refunds and reserves, so booking payouts as revenue understates both sales and costs. Nearly all US states now have marketplace facilitator laws, under which the marketplace collects sales tax for its sellers (Avalara), and that tax needs to be kept out of your income.
How a month runs
Every payout broken down
What our team does for an online store each month, inside your own accounting software.
Each payout
Split and matched
Store and marketplace payouts split into gross sales, fees, refunds and reserves, then matched to the bank deposit.
Weekly
Purchases and inventory
Supplier invoices and inventory purchases entered, so cost of goods sold reflects what you sold.
Month-end
Sales tax and fees
Sales tax you collected and tax collected by marketplaces kept out of revenue, and platform fees reported by channel.
Month-end
Profit by channel
Accounts reconciled and profit shown for each store and marketplace.
Why Opteamus
Every payout split before it is posted
Most ecommerce books go wrong at the payout, so our team breaks every payout into its parts before anything is posted. Our accounting team is led by a Director of Accounting and Finance with CA-level expertise who oversees QA review. We do not prepare tax returns; your CPA keeps that work. Opteamus LLC is a US company based in Torrance, California. Our team works from Dhaka, Bangladesh, during US business hours, which is how we keep offshore rates.
FAQ
Common questions
What does ecommerce bookkeeping include?
Payout reconciliation, fee and refund tracking, sales tax recording, inventory and cost of goods sold, bank and card reconciliations and monthly statements by channel.
Do you file sales tax returns?
No. We record sales tax correctly in the books. Filing stays with you or your tax provider.
Why does my 1099-K not match my income?
The gross amount on Form 1099-K is not reduced for fees, refunds, shipping, discounts or credits, and the IRS tells sellers to use the form with their own records to report the correct income (IRS). Books that break every payout into sales, fees and refunds make that reconciliation quick.
When will a platform send me a 1099-K?
Payment platforms and marketplaces are required to file one when your payments exceed $20,000 and the number of transactions exceeds 200 (IRS). Your sales are taxable either way, so we record them all.
How much does it cost?
From $15 an hour with no setup fee. Your rate depends on transaction volume, and we confirm it on a free call. See how bookkeeping prices compare.
Do you prepare tax returns?
No. We keep the books accurate and closed every month, and your CPA prepares the returns.
How do you protect my data?
Every team member signs an NDA. Client logins are kept in a password manager, never shared in chat or email. We work inside your own accounting software rather than copying files out of it, and our managers monitor the browsers the team works in.
